Autofill

Autofill lets you populate time tracking records directly from the published schedule. Instead of typing in every clock-in and clock-out time manually, you pull the data from shifts that were already planned.
When to use autofill
Autofill works best when:
- Employees mostly worked their scheduled shifts as planned
- You want a starting point and plan to adjust a few records afterward
- You're catching up on time tracking for a past week
How to autofill
- Open Time Tracking in Calendar View
- Click the Autofill button (or the autofill option for a specific cell)
- The system copies scheduled shift times into the time tracking grid
Clock in and clock out times are taken from the shift start and end times. Break time is applied according to the standard rules (30 minutes after 6 hours).
What gets filled
- Only cells that are currently empty. Existing time records are not overwritten.
- Only employees who had scheduled shifts for those dates.
- The times match exactly what was in the schedule.
After autofilling
Review the filled records. In reality, people rarely work their shifts to the minute. Common adjustments:
- An employee clocked in 10 minutes late -- update the clock-in time
- Someone stayed an extra hour -- adjust the clock-out time
- A short shift didn't actually need a break -- set break to 0
- An employee called in sick -- delete the autofilled record and add a leave entry instead
Limitations
- Autofill only works from published shifts. Draft shifts are not included.
- It does not create leave records. If someone was on vacation, that needs to be handled through Leave Management.
- It fills based on scheduled times, not actual worked times. You still need to verify and correct.
Tip: Use autofill as a starting point, not a final answer. Fill from the schedule at the start of the week, then adjust individual records as the actual hours come in.
Workflow suggestion
A practical end-of-week routine:
- Open the Calendar View for the current week
- Click Autofill to populate from the schedule
- Go through each day and correct any differences
- Check the summary totals against what you expected
- Move on to the next week
