User Management

Available to: Owner only

The Users page lets you invite people to your Flincs organization and control what they can access.

Viewing users

Go to Administration > Users in the sidebar. You see a list of all users with their email and role.

Inviting a new user

  1. Click + Invite User
  2. Enter their email address
  3. Select a role:
    • Owner -- full access to everything
    • Admin -- full access except billing, user management, and salaries
    • Manager -- limited to dashboard, schedule, and time tracking
  4. Click Send Invitation

The user receives an email with a temporary password. They can log in immediately and change their password.

Changing a user's role

  1. Find the user in the list
  2. Click Edit
  3. Select the new role
  4. Save

Role changes take effect immediately. If you downgrade someone from Admin to Manager, they lose access to employee details, leave management, and settings as soon as the change is saved.

Removing a user

  1. Find the user in the list
  2. Click Remove (or Delete)
  3. Confirm

The user can no longer log in. Their actions (shifts they created, time records they entered) remain in the system.

Security considerations

  • Give each person their own account. Don't share login credentials.
  • Use the most restrictive role that still lets the person do their job.
  • Remove users promptly when they leave the company or no longer need access.

Tip: For shift leads who only need to check schedules and enter hours, use the Manager role. It's the safest option because it hides financial and personal data.

Month Close (Overtime Reset)

Available to: Owner, Admin

Month Close resets overtime balances. For full details, see Overtime Reset.

Quick overview:

  1. Go to Settings > Month Close
  2. Select the date up to which you want to reset (inclusive)
  3. Click Reset
  4. All overtime balances are recalculated with the new baseline

The reset date is inclusive -- everything up to and including that date is zeroed out. From the next day, overtime counts from zero.

When to do this

Most organizations reset monthly:

  • On the 1st of each month, reset up to the last day of the previous month
  • Or at the end of each month, reset up to that day

Pick a consistent schedule and stick to it.

Before you reset

  • Make sure all time records for the period are complete
  • Verify that leave requests are approved and processed
  • Review the current overtime balances on the Dashboard
  • Handle any overtime payouts through your payroll process first

Resetting does not pay out overtime -- it just adjusts the tracking baseline.
