Overtime Reset
Available to: Owner, Admin
The Overtime Reset (also called "Month Close") lets you zero out overtime balances up to a specific date. This is typically done at the end of each month or accounting period.
Why reset overtime
Without resets, the overtime balance accumulates from the employee's hire date. That can become a large number over months and years. Resetting creates a clean starting point.
Common reasons to reset:
- Monthly accounting close
- After paying out overtime
- Start of a new quarter or year
- After an employee's overtime has been settled
How to reset
- Go to Settings > Month Close in the sidebar
- Select the date up to which you want to reset (inclusive)
- Click Reset
- Confirm the action
All overtime balances are recalculated with the new baseline. The balance before the reset date is effectively zeroed out.
What "inclusive" means
The chosen date IS included in the reset. If you reset up to March 31, all hours through March 31 are included in the baseline. Starting April 1, the overtime balance counts from zero.
What happens behind the scenes
The system does not delete any data. Instead, it creates an overtime baseline offset. The formula becomes:
Overtime balance = (Hours worked + Leave credits + Overtime reduction) - Expected hours - Baseline offset
The baseline offset equals whatever the overtime balance was on the reset date. So the new balance starts at zero from that point forward.
Checking the reset
After resetting, go to the Dashboard and check the overtime table. Balances should reflect only the hours worked after the reset date.
Can you undo a reset?
There is no one-click undo. Since the system stores the baseline as an offset, you would need to reset again to an earlier date if you made a mistake. Be careful with the date selection.
Tip: Do your overtime reset at the same time every month -- for example, on the 1st after the previous month ends. This keeps your accounting periods consistent.
Reset vs. pay-out
Resetting overtime does not automatically pay out the hours. It just adjusts the tracking baseline. If you need to pay employees for their accumulated overtime, handle that through your payroll process first, then reset.
Per-employee selection
The Month Close screen shows only employees who have the monthly reset option enabled in their employee record. You can select individual employees to reset using the checkboxes, or reset all of them at once. You are not forced to reset everyone shown.
