Archive and Delete

When an employee leaves or you no longer need them on the active list, you have two options: archive or permanently delete.

Archiving an employee

Archiving removes the employee from the active list but keeps all their data -- shifts, hours, overtime history, and leave records. Use this when someone leaves and you might need their records later.

  1. Go to Employees
  2. Find the employee in the active list
  3. Click the Archive button in the Actions column
  4. Confirm the action

The employee disappears from the active tab and moves to the Archived tab.

What happens when you archive

  • The employee no longer appears in schedule dropdowns
  • Their time records and leave history stay intact
  • They stop counting toward active employee totals on the Dashboard
  • Their overtime balance is preserved
  • Past schedules still show their shifts

Viewing archived employees

Click the Archived tab at the top of the Employees page. You see a list of all archived employees with their basic details.

Restoring an archived employee

Changed your mind, or someone's coming back?

  1. Go to Employees and click the Archived tab
  2. Find the employee
  3. Click Restore

They return to the active list with all their data intact. Nothing is lost during archiving.

Permanently deleting an employee

This is irreversible. Deleting removes the employee and all their associated data from the system. You cannot undo this.

To prevent accidental deletions, Flincs requires you to type the employee's full name to confirm.

  1. Go to Employees and click the Archived tab
  2. Find the employee you want to delete
  3. Click Delete
  4. Type the employee's full name exactly as shown
  5. Click Confirm Delete

Tip: You can only delete archived employees. If you want to delete someone who is still active, archive them first.

What gets deleted

Everything:

  • All shift records
  • All time tracking entries
  • All leave requests
  • Overtime history
  • Contract records
  • Notes

There is no recovery option. If you might need the data for tax or legal purposes, archive instead of deleting.

When to archive vs. delete

Archive when:

  • An employee leaves but you need their records for payroll, taxes, or audits
  • Someone is on long-term leave and won't be scheduled for a while
  • You're unsure whether they'll come back

Delete when:

  • The employee was added by mistake
  • You're cleaning up test data
  • You're absolutely certain you'll never need their records again
